Job Description

The Executive Assistant will be responsible for a wide range of administrative functions that require a high degree of confidentiality, initiative, and sound judgment in support of an executive and their team. This role involves delivering high-level administrative support through conducting research, preparing reports, handling information requests, and performing clerical tasks such as drafting correspondence, greeting visitors, arranging conference calls, coordinating travel, and scheduling meetings.

Success in this role requires the ability to interact professionally with staff at all levels in a dynamic, fast-paced environment. Flexibility, proactivity, resourcefulness, and efficiency, paired with a high standard of professionalism, are essential. The ideal candidate will have experience working in a matrixed organization, managing executive-level support tasks independently, and adapting procedures and processes to align with departmental objectives.

Qualifications:

  • Minimum of 3 years of experience in an Executive or Administrative Assistant role
  • High school diploma or GED required; Bachelor's degree preferred
  • Proven ability to manage multiple tasks in a fast-paced setting
  • Experience with calendar and schedule management
  • Strong problem-solving skills and adaptability as a team player
  • Proficient in Microsoft Word, Excel, and PowerPoint (including table creation, mail merges, and basic formatting)
  • Solid understanding of general office procedures (filing, correspondence, scheduling, expenses, calendars)
  • Excellent interpersonal and telephone communication skills
  • Strong oral and written communication abilities
  • Discretion and sound judgment in handling confidential matters
  • Demonstrated experience interacting with senior leadership
