Job Description

We are looking for an Executive/Personal Assistant to a High-net-worth Individual in Westlake Village. You’ll be the Executive’s right hand, facilitating his effectiveness and efficiency across all aspects of his work and personal life. This position is ideal for a proactive, highly organized individual who excels at problem-solving, gets stuff done, and knows how to anticipate and prioritize the needs of a fast-paced, high-level leader. You’re energized by providing total support and helping drive his vision forward.

In general:

• Coordinate and manage a busy calendar, scheduling appointments, meetings, and personal commitments
• Organize travel arrangements and handle last-minute changes
• Monitor and manage multiple inboxes, responding where appropriate, flagging high-priority items, and ensuring timely follow-up
• Handle sensitive and confidential information with discretion and integrity

In more detail:

• Heavy inbox management
• Daily calendar management
• Daily tasks are prioritized for efficiency
• Create weekly overview and reminders
• Entity management (annual filings etc.)
• Assists CPAs with tax prep
• Light bookkeeping
• Facilitate signing paperwork
• Assist with acquisitions
• General tracking and back-office management of 10+ entities
• Open and close entities
• Money movement (pay bills, ensure proper money flow between 6+ bank accounts)
• Purchases (personal and business)
• Book doctor appointments
• Travel booking
• Occasional travel w/Executive to various functions, conferences etc.
• Work closely with other EAs and business partners across multiple companies
• Work closely with Executive’s wife for travel and business-related things

About you:

• 5+ years of experience as an EA/PA, preferably for a fast-paced individual.
• Excellent communication skills, with the ability to communicate effectively to all levels of the organization.
• Highly organized with exceptional time management skills.
• Ability to manage competing priorities.
• Incredibly trustworthy with the ability to handle sensitive and confidential information.
• Tech-savvy; you quickly learn new software and leverage technology to streamline tasks and solve problems efficiently.

Job Type: Full-time

Education : Bachelor's Degree or similar

Benefits: Paid Health, Dental and Vision (60 Day waiting period)

Pay: $150,000

Paid Vacation

Schedule: 8AM - 4PM in office, with room for flexibility on both ends

Work Location: Westlake Village CA
