BA Degree preferred, and at least 10 years of experience supporting a C-level executive or CEO. Bring heavy international experience,

Primary Administrative Objectives, Duties and Tasks :

• Developing organized workflows including data management and filing for the CEO
• Arranging international travel, visas and accommodations and travelling with the CEO to take minutes / notes at meetings, or to provide general assistance during presentations
• Ability to travel internationally occasionally
• Organizing and attending meetings and ensuring the CEO is well prepared for meetings
• Screening phone calls, inquiries and requests, and handling them when appropriate
• Meeting and greeting visitors at all levels of seniority and directing them to the correct person
• Organizing and maintaining diaries and making appointments
• Dealing with incoming email, faxes and post, often corresponding on behalf of the CEO
• Taking dictation and minutes
• Carrying out background research and presenting findings
• Producing documents, briefing papers, reports and presentations
• Liaising with clients, suppliers and other management / staff
• Becoming familiar with the corporate structure of the company in order to field all phone calls and accurately transition the information
• Accepting and administering packages
• Coordinating meetings and conference room schedules
• Maintaining office supply inventory
• Maintaining office equipment and furniture and ensuring the office is clean and tidy
• Submitting and following through on maintenance repairs and upgrades
• Researching vendors for pricing and delivery options

KEY REQUIREMENTS:

Ability to travel internationally when necessary.
