🚨 Executive Assistant to the CEO (Part-Time to Full-Time) | CPS1 Security

📍 Location: Remote with occasional in-person meetings (if local to Central California preferred)

🕒 Start: 20 hours/week, growing to 40 hours/week based on performance

This is more than a calendar-and-email job. We're looking for a true force multiplier—someone who thrives in a fast-paced, mission-driven environment and can bring calm to chaos.

🔑 Key Responsibilities
  • Email and Communication Filtering
  • Prioritize incoming messages and ensure only the most essential reach the CEO’s desk.
  • Meeting & Calendar Management
  • Proactively schedule and prepare for internal/external meetings while balancing professional and personal calendars.
  • Travel & Event Coordination
  • Book flights, accommodations, and logistics; oversee corporate events aligned with CEO's availability and brand mission.
  • Project & Task Tracking
  • Keep the CEO updated on key initiatives, progress, and deadlines. Know what’s critical before it's even said.
  • Time Optimization
  • Constantly look for ways to streamline schedules and reduce inefficiencies.
  • Financial Oversight
  • Monitor expenses tied to the CEO’s activities and ensure all budgeting is sharp and accurate.
  • Confidentiality & Discretion
  • Handle highly sensitive information with absolute trust, loyalty, and professionalism.
  • Team & Network Coordination
  • Act as a liaison between internal teams, external stakeholders, and the CEO’s personal network.
  • Lifestyle Management
  • Support with scheduling personal appointments and family-related coordination to maintain balance.

📆 Daily Cadence
  • Review & update CEO’s calendar
  • Inbox management: achieve "Inbox Zero" by 10AM & 5PM PST
  • Coordinate meetings, speaking engagements, and travel
  • Compile daily To-Do list and complete all action requests via Slack, Voxer, and email
  • Prepare for check-ins with CEO and maintain running Admin Agenda
  • Brief review of 6-week calendar for proactive planning
  • End-of-day inbox sweep & prep next day’s tasks
  • Use personal and professional network for lead generation
  • Potential for IG updates as needed - additional income potential

📅 Weekly Rhythm
  • Audit 6-week calendar view for accuracy
  • Confirm invite responses, client program scheduling, and family commitments
  • Meet with CEO’s wife to align on travel and family logistics
  • Confirm or update all travel itineraries
  • Send weekly status report on action items and upcoming needs

🧠 Who You Are
  • A trusted executor who thrives in a role where autonomy and proactivity are essential
  • 5+ years experience supporting C-Suite executives (bonus if in the security, defense, or consulting world)
  • Ultra detail-oriented, calm under pressure, and ruthlessly organized
  • Tech-savvy (Google Suite, Slack, Zoom, Telegram, Airtable, Voxer, etc.)
  • Someone who treats discretion like doctrine - likely to sign an NDA upon start
