Location: Waltham, MA

Salary Range: $85K-$125K

Schedule: Full-time | Hybrid after first month

About the Role:

Our client, a respected business immigration law firm based in Waltham, Massachusetts, is seeking a Firm Administrator with strong experience in office management, financial operations, and human resources . This role is essential to ensuring the smooth day-to-day operations of the firm and supporting strategic growth initiatives in partnership with firm leadership.

The ideal candidate will be a detail-oriented, collaborative, and highly organized professional with experience in a legal or professional services environment. You’ll be responsible for managing finance, accounting, billing, payroll, HR administration, IT/vendor relationships, and facilities , while also contributing to marketing and process improvement initiatives.

Key Responsibilities:

  • Oversee firm accounting operations, including bookkeeping , accounts payable/receivable , and client billing
  • Prepare monthly financial reports , annual budgets, and financial forecasts for firm leadership
  • Analyze financial data to support budgeting and strategic decision-making
  • Manage employee benefits administration , payroll processing , and recruitment onboarding
  • Coordinate and track performance reviews and personnel records
  • Lead daily office management functions and oversee relationships with vendors and service providers
  • Work closely with firm partners on efficiency, profitability, and resource allocation strategies

Qualifications:

  • Bachelor’s degree required
  • Minimum 3 years of business or financial management experience in a law firm or professional services setting
  • Proficient in QuickBooks , Microsoft Office Suite , and modern office management tools
  • Strong knowledge of accounting principles , HR practices , and operational best practices
  • Excellent written and verbal communication skills
  • Strong organizational, analytical, and leadership abilities
  • Ability to work independently while managing multiple priorities across departments
