The Manager, Office of the CIO serves as the primary administrative and operational support for the CIO, ensuring the efficient management of executive workflow, scheduling, communications, and strategic initiatives. This role is responsible for prioritizing the CIO's time, managing high-level engagements, and ensuring strategic alignment with University Technology Services leadership, key institutional committees, and stakeholders across the university.
This position oversees calendar management, meeting prioritization, coordination of internal resources, workflow efficiency, and executive support for strategic initiatives and partnerships. Additionally, the Manager supervises the Office Coordinator, who supports broader administrative operations across University Technology Services, ensuring that CIO-related matters are prioritized before routing other requests.

Oversee and manage the CIO's calendar, ensuring alignment with strategic initiatives, executive decision-making, and collaboration with stakeholders across the university.
Prioritize high-impact meetings and engagements, ensuring the CIO is available for strategic discussions with University Technology Services leadership, Cabinet members, and institutional partners.
Proactively adjust and reschedule meetings as needed, ensuring seamless execution of the CIO's commitments.
Ensure the CIO is fully prepared for meetings, providing agendas, briefing materials, and relevant documentation.
Participate in leadership and committee meetings with the CIO, assisting as requested with recording meeting minutes, outcomes and follow-ups.
Develop high-quality presentations, memos, and written communications tailored for various audiences, including senior leaders.
Manage executive communications for the CIO, ensuring timely responses to critical matters and seamless coordination with stakeholders.
Serve as a key liaison for stakeholders engaging with the CIO, ensuring requests are vetted and scheduled appropriately.
Track and follow up on key action items, ensuring progress on strategic initiatives and institutional goals.
Oversee small-scale team initiatives as a project manager/coordinator when required.
Operational Oversight & Workflow Management
Triage and prioritize all incoming administrative and operational requests, ensuring CIO-related matters are handled first before routing general University Technology Services requests to the Office Coordinator.
Supervise and provide leadership to the Office Coordinator, ensuring internal administrative needs are met while maintaining priority focus on executive operations.
Ensure internal department-wide processes, shared resources, and administrative workflows are structured and accessible.
Oversee office space planning and logistics, working with the Office Coordinator and facilities teams to manage office moves, workspace assignments, and maintenance requests.
Oversee shared department resources, including internal contact lists, office signage, shared drives, and department-wide guidelines.
Ensure office-wide communications and updates are accurate and align with University Technology Services' strategic operational needs.
Manage and document travel and other expenses promptly and accurately.
Internal Meetings & Strategic Coordination
Oversee structured meeting cadences for University Technology Services leadership, institutional committees, and key strategic discussions, ensuring effective executive engagement.
Ensure leadership meetings are aligned with university priorities, facilitating strategic discussions and action planning.
Facilitate internal communication and coordination between the CIO and University Technology Services leadership to maintain workflow efficiency.
Ensure internal University Technology Services gatherings and team-building events are coordinated in alignment with strategic objectives.
Work with the Office Coordinator to manage meeting logistics, including securing venues, confirming attendees, and preparing materials.
~ Perform other duties and assist with projects as assigned.
Minimum Qualifications: Formal Education
~ High School Diploma or GED Required
Work Experience
~5-8 years as an executive-level Administrative Assistant or similar administrative function.
Work Skills (e.g., written and verbal communication skills)
Ability to absorb and assimilate information quickly.
Ability to communicate and interact effectively both internal and externally.
Excellent interpersonal skills.
Must be able to handle multiple tasks and changing priorities while meeting deadlines.
Ability to plan ahead, manage lead times and deadlines, and prioritize work assignments effectively.
Must be able to act independently and utilize experience and job knowledge to make decisions on the Office of CIO's behalf.
Specific Job Knowledge (e.g., knowledge of principles and procedures related to field and area)
~ Strong understanding of professional standards. Superior oral, written and presentation skills with ability to multitask.
Equipment Knowledge
~ Proficiency with PC applications, notably Microsoft Office Suite programs, Outlook, internet browsers, Adobe Suite programs, and SharePoint/OneDrive.
Preferred Qualifications: Formal Education
~ Bachelor's degree and/or vocational/specialized training preferred.
Work Experience
Experience supervising staff or managing the work of other staff members.
Experience in a University setting.
Experience with events planning and resource management.
Work Skills (e.g., written and verbal communication skills)
~ Ability to communicate effectively in writing to various audiences, including University leadership and external stakeholders.
Equipment Knowledge
Knowledge of enterprise resource planning (ERP) platforms.
Knowledge of business accounting practices and procedures.
