Job Description

This position welcomes clients and guests to the office and assists them as needed. The Office Manager oversees the reception desk, handling all incoming phone calls and routing them to the appropriate person. The position deals with a diverse group of important external callers and visitors, as well as internal contacts at all levels of the organization. In addition to front desk duties, this position provides administrative support and back-up support to the Executive Assistant. The Office Manager oversees managing the front desk, conference rooms, office equipment, office supplies, and break room supplies. Proactive nature and independent judgement are required to plan, prioritize, and organize a diversified workload.

  1. Answer the main phone lines and direct calls; accordingly, take messages and fielding questions, as appropriate.
  2. Manage office and break room supply inventory, while also maintaining cleanliness and organization throughout the day.
  3. Professionally welcome all guests and visitors to the office; assisting them, as needed.
  4. Respond to inquiries from employees and guests, referring them, when necessary, to the appropriate person, official, or department.
  5. Manage and prepare outgoing mail and packages, including, but not limited to, USPS, FedEx, certified mail, and couriers.
  6. Sort and distribute incoming mail and packages.
  7. Maintain and operate office equipment and machines, calling service providers for repair and maintenance.
  8. Provide back-up support to the Executive Assistant as needed.
  9. Maintain relationship with parking garage, coordinate new hire parking, answer employee questions or concerns related to parking and resolve any issues.

This position requires a high school diploma and at least two years of administrative, reception, or hospitality experience.

This is a fully in-office position and located in downtown Indianapolis. The company provides employee parking.
