Job Description

POSITION DESCRIPTION

ASK is seeking a full-time Special Events Coordinator to oversee the planning and logistics of the annual ASK 5K & Fun Walk, signature community fundraiser events, assist with other special events and community fundraisers, and coordinate volunteers for fundraising events. This person will report to the Associate Director of Development.
RESPONSIBILITIES
Oversee the planning, logistics and execution of the annual ASK 5K & Fun Walk.
  • Evaluate, present and schedule event date, location, contracts and logistics.
  • Manage all event permits and contracts, including venue, police, vendors, etc.
  • Work with event committee to oversee committee member engagement, meetings, and expectations.
  • Organize event volunteers and provide support to volunteer event leadership.
  • Prepare and manage event budgets and timelines.
  • Generate ideas to increase event participation, satisfaction, revenue and awareness.
  • Assist the Associate Director of Development in creation of sponsorship opportunities and cultivation of event sponsors, including in-kind sponsors. Oversee delivery of sponsor benefits including logo placements, recognitions, invitations, etc.
  • Work with development team to develop marketing plans and content to drive registration and donations via email, mailings, website and social media.
  • Manage production schedules with development team and communications manager for event materials including brochures, banners, t-shirts, videos, etc.
  • Assist in year-round event stewardship planning and communications.
 
Assist with other special events and community fundraisers.
  • Assist Director of Philanthropy and Associate Director of Development with other fundraising and cultivation events, including ASK’s signature event the Above & Beyond Gala.
  • Manage inquiries from third parties (individuals and organizations) wishing to organize an event or cause marketing campaign to benefit ASK; and serve as the point of contact for third party events.
  • Represent ASK at third party fundraising events and community events.
  • Support ongoing community relationships for continued beneficiary selection.
 
Coordinate volunteers:
  • Assist with volunteer recruitment, training, communication, appreciation and recognition.
  • Work with the Program Events Coordinator to manage a database of interested volunteers connecting them to specific roles throughout the year with fundraising and program events.
  • Organize coordination and provide welcome day-of service projects and events.
  • Seek feedback from volunteers post event to enhance future implementation.
 
EDUCATION, EXPERIENCE & SKILLS
  • 2-3+ years experience in fundraising, development and/or special events.
  • Proficiency in Google Suite (GoogleSheets, GoogleDocs, GoogleDrive)
  • The ideal candidate is a creative, organized, intuitive, detail-oriented but big-picture problem solver who can effectively coordinate people, tasks and resources.
  • Excellent written, verbal and interpersonal communication skills.
  • High degree of comfort working with technology, from database management systems to social media platforms.
  • Experience with Canva is preferred.
  • Functional knowledge of 5K events preferred.

This is a full-time (40 hours per week), in-person position. The salary range starts at $50,000.

Occasional evening and weekend work is required.
