Job Description

Job Summary:

We are seeking a dependable and detail-oriented Office Administrative Assistant to support daily operations at our facility. This role is essential in keeping the workplace organized, professional, and welcoming. The ideal candidate will be responsible for front desk reception duties, clerical support, facilities coordination, and event planning. This position works under supervision and follows established guidelines to complete routine tasks.

Key Responsibilities:

  • Clerical & Administrative Support:
  • Process shipping/receiving packages, prepare and file expense reports, and handle travel requests with accuracy and timeliness.
  • Front Desk Reception:
  • Serve as the main point of contact for the facility. Greet and assist visitors, process guest badges, and manage incoming vendors and external customer interactions.
  • Facility & Supply Management:
  • Restock and maintain break room supplies, manage office inventory, and coordinate with the cleaning crew to ensure a clean and orderly environment.
  • PCard & Expense Tracking:
  • Handle purchasing card (PCard) transactions and ensure proper expense reporting and filing.
  • Team Building Coordination:
  • Organize local team building events and manage the associated budget and logistics.

Required Skills & Qualifications (Must-Have):

  1. Experience in clerical support, including processing packages, expense reports, and travel requests.
  2. Proven ability to manage front desk reception and coordinate with external visitors and vendors.
  3. Experience maintaining office supplies and facilities, including break rooms and cleaning coordination.
  4. Familiarity with managing PCard expenses and filing accurate reports.
  5. Demonstrated experience organizing internal team events and handling related budgeting tasks.

Other Requirements:

  • Ability to follow routine instructions and reference manuals or guidelines.
  • Strong verbal and written communication skills to convey basic information.
  • Decision-making limited to the direct area of work.
  • Works well under supervision in a structured environment
